SUMMARY OF ROLE

To provide a comprehensive and proactive PA service to the Managing Director and provide adhoc support to three of her Directors from time-to-time.

The candidate will need highly developed verbal and written communication skills, together with numeracy and MS Office product knowledge. The ideal candidate will have a solid work history with extensive PA experience working at a senior level, with a strong emphasis on effective diary management and co-ordination.

Management and effective co-ordination of the MDs diary, being able to negotiate with internal and external stakeholders to effectively provide or exclude access to the Managing Director in accordance with agreed business rules.
Build relationships internally and externally to ensure correct and appropriate contact for the role being supported
Preparation and refinement of all documents and administrative duties and production of appropriate material for meetings
Management of all travel and meeting arrangements for MD and coordinate visitor's requirements with the provision of refreshments and lunches as required.
Such other duties and responsibilities commensurate with their knowledge, skill and experience. SKILLS REQUIRED

Effective diary management and co-ordination according to agreed business rules especially using initiative to allow for meetings that over run and travel time between locations
Excellent written, numeracy and oral communication skills
Excellent touch typing skills
Discretion when handling commercially or personally sensitive information
Intermediate/Advanced Microsoft Office products including Word, Excel and PowerPoint
Effective decision making and prioritisation skills with excellent interpersonal skills
Proactively follows-up on business matters keeping people informed of progress
Good and accurate attention to detail
Punctual attendance during core office hours and flexibility of approach to work. The ideal candidate will have a solid work history with extensive PA experience working at a senior level and will act as an ambassador for the company and those supporting.
