Brief Outline: A professional person is required to complete all areas of important administration in a small but fast expanding, busy sales office. The articulate candidate will play a key administrative role in supporting the sales team and provide an important link between the sales person and the client. Reporting to the National Sales Manager, the successful person will work in a challenging and competitive environment, processing all sales-related paper work as well as detailed, confidential quotes and other communications. The ideal candidate will be the first point of contact for customers, who may need assistance with orders, quotations, requests etc. The role is an adaptable one for someone with good all round administrative skills and abilities, including knowledge of spreadsheets. They must have excellent customer service skills and be good organisers. Secretarial skills are an added advantage, as the job may involve taking on diary management duties. This role may suit someone who is used to working as a “PA” to a Senior Manager or Director. Reporting to: Simon Quigley – National Sales Manager Main Duties and Responsibilities: Take instructions provided by the National Sales Manager and complete all required tasks. Manage post, internal mail, emails and faxes, issuing responses where possible. Act as a main point of contact for administrative issues. Organise diaries and report any important matters to the National Sales Manager. Undertake research and produce documents for meetings. Produce letters and, if necessary, reports on behalf of the National Sales Manager and the Sales department. Oversee office procedures. Perform other administrative and adhoc duties, such as filing and photocopying. Raise quotations. Handle customer requests. Chase sales quotes. Maintaining good customer relations Answering customers telephone queries Producing reports Maintaining client records
